IIS gathers information from its users in multiple ways:
Voluntary Registration Information Gathering
When you register with IIS, we collect information which helps us to identify you. Although most of the information is necessary for Informa Investment Solutions, Inc. to deliver its valuable services, as indicated on the on-line registration form, some of the information collected is optional with respect to use of our Web site, products, and services. Accordingly, users generally determine for themselves what information they wish to submit on a voluntary basis to IIS. On occasion, we may also collect additional personal information if you choose to respond to a special offer or complete a survey form.
Although our primary goal in collecting personal information is to deliver a customized and personalized service to registered users, IIS also uses the personal information it collects to send users E-mail notification of new features or information available through our Web site(s) or product(s).
User Submitted Information
Informa Investment Solutions, Inc. uses information in ways that are compatible with the purposes for which the information was submitted. Information submitted to Informa Investment Solutions, Inc. and incorporated into its software and services is of two varieties: that which is intended for consumption of registered users of its products and services and client specific data.
Please know that we only collect the minimum amount of information required to perform our business. Information submitted to IIS for distribution to registered users of specific products and services is made available to all intended users of those products. This does not include client confidential information.
Client Specific Information
Some of our products and services require submission of client confidential information. This information may include, without limitation, customer lists, account numbers, ID numbers, transactions and account holdings of investment portfolios. Whether directly entered by a user or received by electronic interface, all nonpublic information received by IIS from its clients will be considered ‘Confidential Information’ and secured at the highest level, as is our duty. Confidential Information shall be maintained in confidence by IIS and shall not be used, duplicated, or otherwise disclosed to any third person, including employees of IIS who do not need Confidential Information in order to perform services for clients. IIS shall (a) hold all Confidential Information received from clients in confidence; (b) reproduce the Confidential Information only to the extent necessary to perform services for the client; (c) not knowingly disclose the Confidential Information to any third party without the prior written approval of client or as required by law; and (d) reasonably maintain Confidential Information in an appropriate and secure environment, both physically and electronically. All employees are required to safeguard this information as specified in the confidentiality agreement signed upon employment with IIS. Upon request of client, Confidential Information shall be destroyed, as applicable, once the services contemplated by the agreement with the client have been completed.
If IIS proposes to disclose Confidential Information to a third party in order to perform services requested by client under the client's agreement with IIS, IIS will first obtain the consent of the client to make the disclosure. Upon the client's request, IIS will enter into a confidentiality agreement with any such third party, under which that third party would be restricted from disclosing, using or duplicating such Confidential Information, except as consistent with the confidentiality agreement.
Browsers and Internet Security
In order to protect confidential data on our web sites we require the use of SSL (Secure Socket Layer) technology. We recommend the use of a 128-bit capable SSL browser. This will encrypt the traffic from the user browser to our website automatically. After you have finished with our web sites, please do not forget to log off. This will prevent someone else from using your session to log into your account.
You should be aware that if you voluntarily disclose personal information online in a public area, that information can be collected and used by others. We do not control the actions of our users and if you disclose information inappropriately, you do so at your own risk. Please remember that privacy and security begin with you.
Passwords are issued to our clients to be used to access our products and services. Your password is your key to this data and should be kept confidential at all times. We are not responsible for any damages caused by you distributing your password.
Use of Cookie Technology
IIS uses "cookies" on the user's computer to apply personal settings when using the IIS websites. These temporary cookies serve to identify the user during each individual visit to the site ("session"), which is a built-in feature of Active Server Pages ("ASP") technology. These cookies are temporarily stored in the user's browser throughout the course of each individual session. All information gathered using these cookies is used only to improve the functionality of the IIS websites and not for information collection. If the user has "cookies" entirely disabled, access to the IIS websites are prohibited.
Other Security and Operational Items
IIS maintains a formal Information Security Program that consists of technical and administrative procedures to assist in the protection of all confidential data. For many reasons, including the safety of IIS assets and maintaining the privacy of client data, a formal information security incident response policy, procedures and team has been created. This team will respond to all potential security incidents, analyze, correct and, if needed, communicate the incident and the actions taken with IIS employees, data partners and clients.
In the event of a privacy dispute, the parties agree to submit the dispute to mediation in accordance with the Commercial Mediation Rules of the American Arbitration Association ("AAA") and bear equally the costs of the mediation. The parties will act in good faith to appoint a mutually acceptable mediator, seeking assistance in such regard from the AAA. The parties agree to participate in good faith in the mediation and negotiations related thereto for a period of thirty days commencing with the selection of the mediator and any extension of such period as mutually agreed to by the parties.
